Bookkeeping Operations Manager
Essential Duties and
Responsibilities:
Core duties and responsibilities include the following. Other duties may be assigned.

Develops and maintains bookkeeping operations according to bank's policies and procedures.

Handles the entire process of Cash Orders for Branches, which involves submitting branch currency order/shipment requests. Balances the GLs of Branch Cash on a daily basis.
Provides input to the development of product strategy and research and development of new and emerging products. Creates and maintains all product types in core system, create and modify disclosures.

Balances and oversees the reconcilements of the General Ledger entries, which includes research of out of balance items in all settlement accounts, etc.

Complete monthly internal DDA reconcilements, research and correct variances as needed.

Balances force balance 101932, CD Settlement 202481 credit card advances 101654 (balance daily and pursue settlement as needed)

Review work of bookkeeping staff and oversees the Management of Bookkeeping Operations. Serve as backup for each employee to cover vacations and unplanned time off. Job functions include but are not limited to: ATM and Passport Balancing, issuing expense checks, online banking support, debit card disputes, printing daily notices, lockbox processing, daily balancing, check and ACH returns, processing ACH files submitted through NetTeller, processing manual ACH files, ACH returns, ACH to Mexico, NSF processing returns, incoming return items, Fed adjustments.

Inputs and coordinates the Wire Transfers process, sets up Wire Transfer Agreements and oversees that all procedures are handles in accordance to the agreements.

Upload, close, prepare distributions and contributions for IRA's .

Submits appropriate reports to Internal and External Auditors, as well as any Examination request letters.

Oversees core system setups, such as Remote Deposit Capture, Cash Management, lockbox.

Perform annual Risk Assessments for ACH

Year End prep (prepare JHA parameters for upcoming year, set calendar, etc.). Review SSN invalids, ensure tax reporting parameters are accurate and files are submitted to IRS by the required deadlines. Prepare customer notices, prepare and submit appropriate corrections to the IRS and affected customers.
Review and remit escheatment to the State of Florida annually.

Oversee JHA enhancement process or any special projects with our core system.

Review, update policies and procedures

JHA parameter maintenance

JHA user assistance

Branch and support staff training

Management Staff development, reviews, etc.

Projects as assigned by Sr. Management

Legal - Bankruptcy, Department of Revenue, Child Support, Writs, Garnishments, Subpoenas

Performs administrative activities associated with the effective management of business operations, including compiling, storing, and retrieving production data for reports.

Determines responsibilities of assigned organization and staff positions to accomplish business objectives.

Trains and ensures all assigned employees are aware of and comply with company, government, and customer policies, procedures, and regulations.


Supervisory
Responsibilities:
Manages subordinate employees within the Bookkeeping Operations department and is responsible for the overall direction, coordination, and evaluation of these employees. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
Estimated Salary: $20 to $28 per hour based on qualifications.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
